Workflow Templates

Create reusable workflow templates with stages and default tasks for consistent transaction coordination.

Overview

Workflow Templates (/ops/templates) let you build reusable blueprints for transaction coordination. Set up your stages and default tasks once, then apply the template every time you create a new workflow.

  • Create templates with predefined stages and tasks
  • Set default durations, assignee roles, and due-date offsets
  • Mark tasks as required
  • Apply templates when creating new workflows

Creating a Template

  1. Go to ClarityOPS > Templates
  2. Click New Template
  3. Enter a template name and optional description
  4. Click Create

Adding Stages

  1. Open the template
  2. Click + Add Stage
  3. Configure the stage:
    • Name - Stage title (e.g., "Under Contract", "Due Diligence")
    • Description - Optional notes about what happens during this stage
    • Sort Order - Controls the left-to-right order on the Kanban board
    • Default Duration - How many days this stage typically lasts

Adding Default Tasks

Within each stage, add tasks that should be included every time the template is used:

  1. Click + Add Task inside the stage
  2. Configure the task:
    • Name - Task title
    • Description - Instructions or context
    • Default Assignee Role - Which team role should handle this task (e.g., TC, Agent, Owner)
    • Due Days Offset - Number of days after workflow creation (or stage start) the task is due
    • Required - Toggle on if this task must be completed before the workflow can be marked complete
    • SOP Link - URL to the standard operating procedure for this task

Applying a Template

When you create a new workflow:

  1. Choose From Template
  2. Select the template you want
  3. All stages and tasks get copied into the new workflow
  4. Customize as needed for this specific transaction: add, remove, or edit tasks
Tip: Build separate templates for different transaction types, like "Buyer TC", "Seller TC", and "New Construction", to match your team's processes.
