Email Templates

Create and manage reusable email templates with merge fields and attachments for ClarityOPS workflows.

Overview

Email Templates (/ops/email-templates) let you create reusable email content for common transaction communications: intro emails, status updates, closing reminders, and more.

  • Create templates with subject and body
  • Use placeholder variables to merge in transaction data
  • Attach files to templates
  • Share templates with your team or keep them personal
  • Send emails directly from within a workflow

Creating an Email Template

  1. Go to ClarityOPS > Email Templates
  2. Click New Template
  3. Fill in the template details:
    • Name - Internal name for the template (not shown to recipients)
    • Subject - Email subject line (supports placeholder variables)
    • Body - Email content (supports placeholder variables)
  4. Click Save

Placeholder Variables

Use merge fields to dynamically insert transaction data into your emails. Placeholders get replaced with actual values when the email is sent from a workflow.

Common placeholders include things like property address, client name, closing date, agent name, and other fields from the linked transaction.

Preview

Click Preview to see how placeholder variables render with sample data before you save or send.

Attachments

Add files to your email templates:

  1. Open the template
  2. Click Add Attachment and upload your file
  3. Attachments are included every time the template is used

To remove an attachment, click the delete icon next to the file name.

Shared vs. Personal Templates

  • Shared - Visible to all team members in the email template list
  • Personal - Only visible to you

Toggle the Shared setting when creating or editing a template.

Sending Emails from a Workflow

  1. Open a workflow and go to the Emails tab
  2. Click Send Email
  3. Pick an email template or compose from scratch
  4. Placeholder variables are automatically filled in from the workflow's transaction
  5. Review, edit if needed, and click Send

Sent emails are tracked on the workflow's Emails tab with subject, recipients, and timestamp.
