Managing Tasks

Create, assign, and track tasks within ClarityOPS workflows, including sub-tasks, comments, and the My Tasks view.

Overview

Tasks are the core work units in ClarityOPS. Every task lives inside a workflow stage and can be assigned, prioritized, commented on, and broken into sub-tasks.

  • Create tasks within workflow stages
  • Set due dates, priorities, categories, and assignees
  • Break bigger tasks into sub-tasks
  • Add comments for team collaboration
  • Track your personal tasks from the My Tasks page

Creating a Task

  1. Open a workflow and go to the desired stage
  2. Click + Add Task
  3. Enter the task name
  4. Click the task to open the Task Detail Slideover for additional settings

Task Detail Slideover

Click any task to open its detail panel:

  • Name - The task title
  • Due Date - When the task should be completed
  • Priority - Normal, High, or Urgent (high and urgent tasks are visually flagged)
  • Category - Optional category label (see Tags and Categories)
  • Stage - Which stage the task belongs to (change it to move the task)
  • Assigned Member - The team member responsible
  • SOP Link - URL to a standard operating procedure for reference

Sub-Tasks

Break a larger task into smaller action items:

  1. Open the task's detail slideover
  2. Scroll to the Sub-tasks section
  3. Click Add Sub-task
  4. Enter the sub-task name and optionally set a due date

Sub-tasks appear nested under the parent task. Heads up: completing all sub-tasks does not auto-complete the parent. You'll need to complete the parent task separately.

Task Comments

Add comments to any task for team communication:

  1. Open the task detail slideover
  2. Scroll to the Comments section
  3. Type your comment and click Post

Comments are timestamped and show the author's name and avatar.

Completing and Reopening Tasks

  • Complete a task by clicking the checkbox on the task card (Board view) or row (Table view), or by clicking Mark Complete in the detail slideover
  • Reopen a completed task by clicking the checkbox again or clicking Reopen in the slideover

My Tasks Page

The My Tasks page (/ops/my-tasks) shows all tasks assigned to you across every workflow, organized into three sections:

  1. Overdue - Tasks past their due date, sorted oldest first
  2. Due Today - Tasks due today
  3. Upcoming - Future tasks, sorted by due date

Click any task to jump directly to its workflow and open the task detail.

Save time with templates: Define default tasks in Workflow Templates so they're pre-populated in every new workflow.
