Working with a Workflow

Navigate the workflow detail page: Kanban board, task table, activity log, emails, documents, and transaction details.

Overview

The workflow detail page (/ops/workflows/[id]) is where the day-to-day coordination happens. View and manage tasks on a Kanban board or table, track activity, send emails, upload documents, and review transaction details, all in one place.

The top of the page shows:

  • Editable workflow name - Click to rename
  • Status badge - Active, Paused, or Completed
  • Tags - Applied workflow tags
  • Property, client, and agent info - Pulled from the linked transaction
  • Progress bar - Visual indicator of completed vs. total tasks

Board (Kanban) View

The default view organizes tasks into columns by stage. Each column represents a workflow stage (e.g., "Under Contract", "Inspections", "Closing Prep").

  • Task cards show the task name, due date, priority, assignee avatar, and category color
  • Drag and drop tasks between stages to reorganize
  • Click a task card to open the Task Detail Slideover
  • Add new tasks to any stage with the + Add Task button

Tasks (Table) View

Switch to table view for a flat, sortable list of all tasks across all stages:

  • Columns: Task name, Stage, Due Date, Priority, Assignee, Category, Status
  • Sort by any column
  • Click a row to open the Task Detail Slideover
  • Complete tasks inline with the checkbox

Below the board/table area, four tabs give you additional context:

Activity

A chronological log of everything that's happened on the workflow: task completions, status changes, emails sent, documents uploaded, and notes added.

Emails

View all emails sent from this workflow. Each entry shows the subject, recipients, date, and a link to the full email. You can also send new emails directly from this tab using email templates.

Documents

Upload and organize transaction documents. Drag and drop files or use the upload button. Documents are stored per workflow for easy reference during and after the transaction.

Notes

Add internal notes visible to your team. Notes are plain text, timestamped with the author.

Transaction Details Panel

Click View Details to open a side panel with the full transaction information:

  • Property - Address, MLS number, sale type
  • Client contact - Name, email, phone
  • Key dates - Contract date, closing date, possession date
  • Financials - Sale price, commission, GCI
  • Vendors - Lender, title company, inspector, etc.
  • Member commission breakdown - Per-member splits and amounts
