Managing Transactions in ClarityOPS

Create, filter, and manage transaction workflows from the ClarityOPS workflows page.

Overview

The Workflows page (/ops/workflows) is where you manage all your transaction workflows. Create new workflows from templates or from scratch, filter by status or assignee, and take actions on individual workflows.

  • Create workflows from templates or manually
  • Switch between table and card grid views
  • Filter and search across all workflows
  • Manage the workflow lifecycle: active, paused, completed

Creating a Workflow

  1. Click New Workflow on the Workflows page
  2. Choose to start From Template or Manual
    • From Template - Pick a template, then customize as needed. Stages and tasks come pre-populated.
    • Manual - Start with a blank workflow and add stages and tasks yourself.
  3. Tie the workflow to a transaction (select an existing one or create a new one)
  4. Set a name, optional tags, and assign team members
  5. Click Create

Views

Toggle between two layouts:

  • Table View - A sortable, scannable list with columns for name, status, progress, assignee, and closing date
  • Card Grid View - Visual cards showing workflow name, status badge, progress bar, and tags

Filtering Workflows

Use the filter bar to narrow your list:

  • Status - Active, Paused, or Completed
  • Sale Type - Filter by transaction sale type
  • Tags - Filter by one or more workflow tags
  • Assignee - Show workflows assigned to a specific team member
  • Search - Free-text search by workflow or transaction name

Workflow Lifecycle

Each workflow moves through a defined lifecycle:

  1. Active - The workflow is in progress. Tasks can be completed, emails sent, and documents uploaded.
  2. Pause - Temporarily halt the workflow. You'll be asked to add a note explaining why (e.g., "Waiting on inspection report"). All task due dates freeze.
  3. Resume - Reactivate a paused workflow. Task due dates adjust accordingly.
  4. Complete - Mark the workflow as finished when the transaction closes.

Inline Actions

Click the dropdown menu (three dots) on any workflow row or card for quick actions:

  • View workflow details
  • Pause or resume the workflow
  • Complete the workflow
  • Delete the workflow
